How can I create access restrictions for HR or Admin user groups?
General user permission configuration
Users can belong to different permission groups with different “view” and “edit” rights. An overview is accessible from Settings → Permissions, where the user group can be changed.
Note: it is also possible to change a user’s permission group from the Team section by clicking on the three dots
Company-specific user permission configuration
If operating with multiple companies, there might be a need to have HR or Admin users only access data of a specific set of companies. This is managed by when changing the permission of a user, toggling on the ‘Limit access per company’, and specifying which company(ies) the user should have access to.
Follow the below steps to set this for HR permission group of Administrator permission group:
Open the “Team” page
Find the user who’s permissions you would like to change
Click on the three dots to open the menu
Select “Change Permission Group”
In the window that opens, click to open the “Permission Group” menu
Select the role that you would like to assign the user to from the menu, in this case the HR role
When you make your selection for the HR Permission group, select the option to “Limit Access per Company”
Then select the company or companies that you would like the user to have access to view information for
Once you have selected all relevant companies for the user, click on “Change” to save your selection.
- An HR or Admin with company-specific access will have the same access as stated in the permission matrix only for the company(ies) selected.
- For any other company, the user will not have access to:
- Profiles of users in other companies
- Data specific to users in other companies through ‘Insights’ from Team or Pay sections
- Payroll of other companies
- Access and ability to modify the following specific to other companies
- policies, requests, approval flows, timesheets, time tracking, shifts
The permission matrix, clearly outlines the view and edit rights for each permission group in the platform. It can be accessed by going to the Settings then the Permission tab.
